The Digital Signage feature allows administrators to set Displays around your organisation to show a playlist of information at a pre-defined scheduled.
Digital Signage is displayed on a schedule, which displays pre-defined playlists or selected media to a room or group of rooms on a set schedule.
Simple Digital Signage can be quickly created by creating a new "Schedule". Everything that is required, including uploading media, can be handled within the Schedule wizard.
Displays can be grouped together to suit the signage that is displayed. For example, Displays in corridor areas can show generic dates that apply to everyone. Displays in a particular location, such as a senior school building, can display information that is relevant to people who are in that location.
Accessing the Digital Signage feature requires a user to have Signage Admin rights (or IT Admin/Super Admin rights) in Vivi Central. Signage Admin rights are set in the User profile.
To enable a Digital Signage broadcast, the Vivi Boxes need to be running firmware 1.7 or higher.
If the Signage Admin doesn't hold any other user permissions (such as IT Admin), they will see limited options in the main navigation.

Presenting Priorities

When Digital Signage content is being shown on a Display, teachers can override the Display to present their own screen. In this context, pressing "Present My Screen" will prioritise the teacher's screen. Scheduled content will also not occur if a user is actively streaming.

Digital signage and rooms which require a room code

When Digital Signage is active on the Display in a classroom set to use a room code, users will be unable to see the room code on the Display. However, the moment a user attempts to connect to the room in the Vivi App, Digital Signage in the room will stop so that the room code can be seen on the Display.

Uploading Media

Digital Signage can use different types of media including images, audio and videos. These must be loaded into Vivi Central before they can be used.
When uploading images for Digital Signage, the image type must be set to "signage".

Playlists

Different media items can be groups together into a playlist.
For example, if you want to have two static images and a video play at 9:00am as part of your morning announcements, you would create a new playlist and add those three pieces of media to this playlist, which you would name "Morning Announcements".
To view the playlist management page, expand the "Signage" menu in Vivi Central and click on "Playlists".

To see the contents of a playlist, click on the playlist name, and then click on the "Items" link. The contents of the playlist will then be shown.

Creating a Playlist

To create a new playlist:

  • Under the "Signage" link in Vivi Central, select the "Playlists" link.
  • Click "Create Playlist".
  • Enter the name of the playlist and select the organisation that it belongs to.
  • Select the media to add from the "Available Media" box, and use the yellow right arrows to add them to the Playlist. Items from the "Available Media" can be added to the playlist more than once.
  • Once added to the playlist box, the items can be reordered. You can also select an item and choose how long (in seconds) the item will play for.
  • Click "Create" to save the changes.

Modifying a Playlist

To modify a playlist:

  • Under the "Signage" link in Vivi Central, select the "Playlists" link. This will display a list of playlists.
  • Click on the name of the playlist to modify. This will load the details for the playlist.
  • To change the name of the playlist, click "Edit", change the name and click "Save Changes".
  • To modify the items in the playlist, click the "Items" link at the top of the screen. A list of the media in the playlist will be shown.
    • Click "Edit Playlist".
    • Adjust the playlist as required.
    • Click "Update" to save the changes.

Deleting a Playlist

To delete a playlist:

  • Under the "Signage" link in Vivi Central, select the "Playlists" link. This will display a list of playlists.
  • Find the playlist that is to be deleted, and click the "Delete" button next to the corresponding playlist.

This will delete the playlist but not the media that is part of the playlist.

Signage Groups

A signage group is a group of rooms where media or playlists are to be played.
For example, if there is a Year 7 school camp coming up and you want to remind students of the due date for fees, you can create a signage group for Year 7 classrooms. This way only the Year 7 classroom Displays will show the announcement.
To view existing signage groups, under the "Media" link in Vivi Central, select the "Groups" link.

To create a new signage group:

  • Under the "Signage" link in Vivi Central, select the "Groups" link.
  • Click "Create Signage Group".
  • Enter the name of the group, and select the rooms from the "Available" list that are to be included. Use the arrows to add the selected rooms to the "Selected" box on the right.
  • Click on "Create" to save the changes.

Modifying a Signage Group

To modify a signage group:

  • Under the "Signage" link in Vivi Central, select the "Groups" link. This will display a list of signage groups.
  • Click on the name of the signage group to modify. This will load the details for the group.
  • To change the name of the group, click "Edit", change the name and click "Save Changes".
  • To modify the rooms in the group, click the "Rooms" link at the top of the screen. A list of the rooms in the group will be shown.
    • Click "Edit Signage Rooms".
    • Adjust the room list as required.
    • Click "Update" to save the changes.

To delete a signage group:

  • Under the "Signage" link in Vivi Central, select the "Groups" link. This will display a list of signage groups.
  • Find the group that is to be deleted, and click the "Delete" button next to the corresponding group.

Schedules

Schedules are used to plan what, where and when playlists or media are played. For example, you can schedule school announcements to play daily at 9am across class rooms.

Creating a Schedule

The process for creating a schedule follows these steps:

To create a schedule:

  • Select the "Signage" link in Vivi Central. A list of existing schedules be displayed.
  • Click "Create Signage Schedule".
  • Select the organisation that the schedule belongs to, and give the schedule a name.
  • Click "Next" to proceed to the "Destinations" step.
  • Choose whether to display to a "Signage Group" or an individual "Room. Depending on what you have selected, a list of signage groups or rooms are displayed. Select the required group or room.
    • You can also create a new signage group if required by clicking "New Signage Group". Refer to the "Creating a Signage Group" section if you need help with this. Once the signage group is created, it will appear in the list and can be selected.
  • Click "Next" to proceed to the "Playlists" step.
  • Choose whether to display a "Playlist" or some individual "Media". Depending on what you have selected, a list of playlists or media are displayed. Select the required playlist or media.
    • Media can be uploaded from within the schedule Wizard by clicking "Add Media". Refer to the "Uploading Media" section if you need help with this. Once the media is uploaded, it will appear in the list and can be selected.
    • You can also create a new playlist from within the schedule Wizard if required by clicking "New Playlist". Refer to the "Creating a Playlist" section if you need help with this. Once the playgroup is created, it will appear in the list and can be selected.
  • Click "Next" to proceed to the "Date and Time" step.
  • Select the data and time that the playlist or media should be displayed. This can be set up as a once off event, or on a regular schedule. A sample of setting a daily announcement at 9am on school days is shown below.

  • Click "Next" to proceed to the "Overview" step.
  • An overview of the schedule will be displayed. Click "Submit" to save the schedule or "Previous" to go back and change the details.

  • Click "Submit" to create the schedule.

Please note: The priority of schedules is first-in, first-served.
If you have two schedules set up to play in one room or signage group, with one set to start at 12:00pm and run for an hour, and the second is set to start at 12:30pm and run for an hour, the first one will play until completion. The second schedule will follow at 1:00pm after the first schedule finishes.

Modifying a Schedule

To modify a schedule:

  • Select the "Signage" link in Vivi Central. A list of existing schedules be displayed.
  • Click on the name of the schedule to modify. This will load the details for the schedule.
  • At the top of the screen, the schedule management menu is displayed.
  • To change the name or the date and time for the schedule
    • Click the "Details" link and click "Edit".
    • Update the name, date or time as required.
    • Click "Save Changes".
  • To modify the destination:
    • Click the "Destination" link and click "Edit".
    • The "Destination Type" can be set to "Signage Group" or "Room", and a new room or signage group can be selected.
    • Click "Save Changes".
  • To modify the playlist:
    • Click the "Playlist" link and click "Edit".
    • The "Playlist Type" can be set to "Playlist" or "Media", and a new playlist or media can be selected.
    • Click "Save Changes".

  • Select the "Signage" link in Vivi Central. A list of existing schedules be displayed.
  • Find the schedule that is to be deleted, and click the "Delete" button next to the corresponding schedule.

This will delete the schedule but not any media or playlist associated with it.
