In order to bulk assign Vivis, they will need to be assigned to a room before they can be used. You can do this by populating and upload the following CSV file directly into Vivi Central. This file is available to download in the upload window further into the instructions.

To assign multiple unassigned Boxes to rooms:

  • Navigate to ‘Organisation’ in Vivi Central and then select the ‘Rooms’ link to see a list of rooms.

  • Click ‘Bulk Assign’ on the top right corner of the page and can upload the CSV in the required format to assign the devices to a Room (and event Location + Sub-Location, if required).

Guidelines of bulk updates

  • A maximum of 500 assignment is allowed in one request. For more device assignment, users are advised to split the csv into multiple files with 500 or less records.

  • Make sure the Box you are trying to assign is present in your organisation and has NOT yet been assigned to a room. Overwriting of Box which is already assigned to a room is restricted.

  • Keep the columns in the CSV in the same order as the the template. MAC address and Room names are mandatory. Location and Sublocations are optional fields.

  • You can create new rooms and locations using this bulk upload process. Use unique room names for creating different rooms.

  • If adding more devices to an existing room, make sure to enable multi-display. However, for new rooms, if you are adding more than one MAC address to the new room it will automatically enable the multi-display.

  • You can assign new rooms to an existing or new ‘Location + Sublocation’. However, you cannot re-assign an existing room to a different ‘Location + Sublocation’.

  • Leave Location blank to prevent assigning a Room to a Location.

  • Add all Sub-locations in separate columns in the order of their hierarchy.

  • If there’s any errors with the CSV then none of the assignments will be processed. You will need to rectify those errors and re-upload the file to successfully complete the Box assignments. Below is an example of all the error messages you will see if the CSV file has incorrect information.

  • Once the device assignment is in progress, the user must not navigate away from the page, until the process is complete.

  • Users will shown a confirmation message once the assignment is complete.
